For the last post on the topic of e-mail productivity (for the moment ;) ), and after having introduced you to Inbox Zero and presented my implementation with Thunderbird, I’ll show you how I achieve Inbox Zero with Apple Mail application.

I could have used Thunderbird at home (I’m using Mac OS X at home, while I’m using both Linux and Windows at work), but I prefer the neat integration of Mail.app in Leopard. In addition, I can do with a lighter set up at home then at work.

After my first post on the subject, I will show you something more practical : how I achieve Inbox Zero and combine it with some GTD principles within an e-mail client.

As I was using (and I’m still using) Thunderbird as e-mail client at work, I look more precisely for a GTD-style implementation of Inbox Zero with it. I found many articles and blog posts on the topic and one of them inspired me more than the others.

The keys of the implementation are :

  • Saved Search folders : Thunderbird permits to create rather advanced Saved search folders based on many criteria.

For years I’ve organized my e-mails with incoming rules, folders and sub-folders. With my current job, as my responsibilities are growing, I’ve first added tags in the subject, and I got all the team to use the same tagging system. In this way, I was able to add more incoming rules, more folders and more sub-folder.
